How do you handle multiple projects?

Project Management Technique.

A good tools to sort out your project is to use a software, like :
    Microsoft Project
    Outlook Task and Reminders

Microsoft Project, kasi magagawa mo doon ang PDS (Product Development Schedule) o kaya Milestone (puwede rin manu manu gawin sa excell),  Sa milestone makikita na kung kaylan mag-start ng project at kaylan ang Ending, well this milestone can be use to check with other project milestone for any overlapping o kaya conflicting.  Aside form here, you can monitor the progress of the project (10%, 20% 50%) and this information can be send out to the Team.   In here also, you can simply click a mouse and you can get a good graphical representation of your project milestone, what has been accomplished and what item still need to accomplish.

Aside from this, you can even compute the number of hours (cost) involved in this particualr project.

You can check also whose among the TEAM is overloaded na sa work, o sino iyong wala masyado ginagawa - para ma-equalized o ma-distribute mo ang work to the team.

There is always a "high" and "Low" priority, if all your projects are "high" priority, hehehehe, sounds you are buried in the desert.

Microsoft Outlook is a good Tool for you to lessen your brain usage,  let Outlook remember the deadlines, let you remind you of schedule, meeting, appointment, tracking of schedule, dating, hehehehe.......  its cool to synchronized with PDAs.

One of the Project Management Technique i am currently using is called Toll Gate Systems - it track the project from design to finished product.  Kaya tinawag na Toll Gate ay parang Toll Gate sa highway,  daan ka sa ibat ibang toll gate bago makarating sa pupuntahan, and before you can pass sa isang Toll Gate - Bayad muna.  In Project handling, there are different stage din, and each stage must be completed,  before you can pass or go to other stage "you need Project Assestment", parang ito iyong bayad mo sa Toll Gate para maka-proceed ka sa ibang stage, etc.....

In effect, the project is handled professionally. Project Management let you decide also which is priority, less priority, and puwede bukas na project.

The topic is  : 'How do you handle Multiple Projects'

Iyong 'project' na defined dito ay  assigned project  to you (handled by a team)  by the company with customers, hindi po iyong project na magbubuo ka lang ng Trainer Board which is a mtter of hour only, heheheh puwede na rin iyon as personal project.

The project is normally last for several weeks (or even months and years).   From the Start to the end,  mayroon nga activity na gagawin sa project.  example,   design of circuit, PCB making, prototype, testing, Alpha sample,  customer sample, Trial production, Reliability Testing, approval, Pilot production, Mass production, etc...  (let's say iyong isang semester, may prelim, midterm at saka final exam.... may start at may ending with activites from start to end).

Kung titingnan mo ang mga activity na ito, it is sequential one after the other, from start to end.

Aside from that, makikita mo rin o ma-compute mo kung ilang hours ang gugugulin to finish the project, and then, you can also compute the work cost.  With a click of a button, you can graph the schedule for easy presentation.

With PDS and using Microsoft Project, it is unlikely na mayroon kang makakalimutan,  minsan ang ginagawa ng ibang Project Manager sa simula banat ng banat (pakitang gilas) at some point  discover na lang na mayroon nakalimutan na importanteng bagay - in which sometimes it cost a Project Delay.

With a good PDS resulted in good project management.  Yes, some case, magkasabay sabay lahat ang mga project and you don't know even kung ano uunahin mo.  Again, with PDS with start and ending date,  you can tell among each project by reviewing the PDS,  which is the priority among these projects, there should be a less priority project over the the other projects.  In case that the boos still keep insisting to let you (or your team) will divert to a project, let you work on a project which just came out of the blue to work on it ASAP, you have to compromise to the boss and let him know and the consequence that,  if you work on this new project now, you won't be able to work on the current project (which is also priority) and this will deteriotate the PDS and caused delay which this delay causes other consequence to the customer or the overall project, and if the boss can live with it, it is a good project compromise.   (Boss normally don't know what is going on the project, don't know the daily activities executed because they are busy playing golf, casino and eating, singing with KTV and their friends hehehehe.... so when they decide, bara bara din, gusto bigyan pansin ay ang project na kikita ng pera kaagad, I knew it.)

wth  Microsoft Project ability to help you in Project Management, overlapping and redundant project you are handling, you can present the development schedule to the top management how it is being taking care off, top management sometimes (always) blind on the real happening, but if you are tough to convey them with good tools and presentation, i don't think they can still insist what they wanted to do.

Isa pang software na I advice to use is the Microsoft outlook.  With a proper use, puwede mo gamitin ang TASK, Scheduler and email in relation to the project.   With Task and scheduler,  ang outlook ang mag-remind sa iyo kung mayroon ka dapat na tapusin within  this week or tomorrow, it-keep remind you of the deadline, activities, meeting, personal date and dinner, etc...... Its cool to use outlook and synchronise with your PDA or mobile /PDA.   For busy people, you can lessen the space in you mind's memory (para hindi madaling tumanda at pumuti buhok)  for schedule with the use of PDA and outlook software (with computer).  Since project done in company is being talk about and updated in emails, you can take advantage of Microsoft outlook to track and keep record of the email, you can even review emails and attachment even internet offline (in case you have laptop PC).  Not only that, you keep track of all your contacts, write email off line and send it when you are online.

The key to handle multiple project (with me) is with Project management techinque called Tool Gate Systems (tracking, solving problem, avoiding future problem, avoiding cost impact, etc). and before (as experienced), I used tools like Microsoft Project and outlook to track every details of the project (team, customer, company, vendors), kung gawin mo manu-manu iyan, naku ang hirap niyan lalu na mga customer mo ay giant companies (example  BELLSOUTH, France Telecom, Telecom Italia,etc.).

Even for simple project which last for a week or two, the key success is a PDS, defined the start and end, and in between, defined your activities.

Even when I am writing book (Like several Trainer Manual),  I used PDS to marked my activities, I always consider it as a project, hindi iyong I work when I have free time.
It is this where I learn that,  Handling Project is not simply all about Technical aspect,  good tools, good team, above all is something to do with CharACTER, the total personality requirement which include human management.   (example, kung hindi gumana protoype project mo - pagka alam mo nito sigawan mo kaagad iyong tao mo, o kaya di mo ma-convince boss mo sabihin mo na lang sa kanyan - sige resigned na lang ako,  o kaya dahil hindi ma-solved ng mga tao mo ang problema ikaw na uupo magdamag para trying to sovled it... then di mo na solved and no more face to the team hehehehehe )

Have a nice week end to all.
